Why can't a user modify an order or transaction?
If a user cannot change quantities, reschedule a reservation, or access the modify link on a transaction, several permission or system conditions may be preventing the modification. This faq explains the most common reasons and how to resolve them.
What permissions are required to modify a transaction?By default, employees can modify transactions. However, users cannot modify reservations if:
- They are assigned the limited permission level, or
- Custom security settings have disabled modification rights
If the modify link is missing or disabled, verify the user’s permission level.
Why might the modify link be missing or unavailable?There are two main scenarios that prevent modification even when permissions are correct.
1. The computer is not registered as a terminalIf the device is not registered as a terminal:
- The user will not see the modify link at all
- The transaction page will not show modification options
How to fix it
Register the terminal in:
Admin tools → terminals → registered terminals
Once registered, refresh the transaction page and the modify link should appear.
2. The transaction is more than 48 hours oldHigh trek pos locks transactions after 48 hours to maintain accurate accounting. This prevents users from changing historical quantities or attendance after revenue has already been recognized.
Examples:
- You cannot reduce the number of guests from last week
- You cannot reschedule an event that occurred several days ago
Why this restriction exists
After 48 hours, the transaction has already been counted in:
- Profit and loss
- Recognized revenue
- Attendance reporting
Changing it would create accounting inconsistencies.
How do I make changes if the transaction is locked?You must use a refund/return, depending on the situation.
To reduce quantity and return money
Use a refund/return to adjust the qty and issue funds back to the customer.
To reschedule a no‑show or make an exception
- Refund the entire order to account credit
- Use the account credit to create a new reservation for the desired date
This maintains accounting accuracy while allowing flexibility for customer service situations.
